A breakdown enquiry often begins with a photograph or a generic description. The supplier must then determine the exact machine, assembly, revision and part. Every missing data point increases the chance of an incorrect quotation, a rejected alternative or avoidable back-and-forth.
A critical-spares process should therefore start before the breakdown. Equipment registers, bills of material, serial numbers, approved makes and historical purchase records should be organised and linked to operating assets.
Minimum information for a breakdown request
Capture the equipment manufacturer, model, serial number, existing part number, quantity, failure context, photographs, dimensions where relevant, delivery site and latest acceptable delivery date. State whether OEM-only supply is mandatory or whether a technically approved equivalent may be considered.
