How CIM Supplies processes personal information submitted through this website.
This notice applies to commercial, project, critical-spares, supplier and general enquiries submitted through the CIM Supplies website.
Public forms do not accept identity documents, confidential technical files or sensitive medical information. Secure exchange arrangements are provided after initial assessment where necessary.
1. Responsible party
CIM Supplies is the responsible party for personal information processed through this website.
2. Information collected
CIM Supplies may collect names, organisation and role information, business contact details, country and location, product and project information, supplier and partnership information, website technical data, correspondence and records generated while assessing an enquiry.
3. Purposes
Information is used to receive and respond to enquiries; assess sourcing, delivery and partnership requirements; prepare quotations and proposals; perform due diligence; manage supplier, client and project relationships; maintain security and legal records; and improve service performance.
4. Grounds for processing
Processing may be based on consent, steps requested before entering into a contract, performance of a contract, compliance with law, protection of legitimate interests or another lawful ground under applicable data-protection legislation.
5. Mandatory and voluntary information
Fields marked as required are needed to classify and respond to the enquiry. Optional information may improve the response. Insufficient product, destination or contact information may prevent CIM Supplies from assessing the request.
6. Recipients and operators
Information may be accessed by authorised CIM Supplies and group personnel and shared with hosting, email, security, professional, logistics, technical, OEM, supplier or implementation partners where reasonably necessary and subject to appropriate safeguards.
7. Cross-border processing
Because enquiries and supply transactions may involve several countries, information may be transferred outside South Africa. CIM Supplies applies contractual, organisational and legal safeguards appropriate to the transfer and purpose.
8. Retention
Enquiry information is retained for as long as reasonably necessary for response, quotation, project, relationship, audit, dispute, legal, tax and security purposes.
9. Security
CIM Supplies applies reasonable access, validation, anti-spam, hosting and communication controls. Visitors should not submit passwords, banking credentials, identity documents, confidential site-security information or sensitive medical information through public forms.
10. Data-subject rights
Subject to law, a person may request access to, correction or deletion of personal information; object to certain processing; withdraw consent where applicable; or complain to the Information Regulator. Requests should be sent to [email protected].
11. Direct marketing
Submitting a commercial enquiry does not automatically subscribe a person to marketing communications. Separate consent is obtained where direct marketing is used.
12. Cookies and analytics
The website uses essential technical storage required for security and form operation. It does not currently use advertising trackers or non-essential analytics cookies.
13. Contact
Privacy and POPIA requests may be sent to [email protected] with the subject “Privacy Request”.
